Time/Labor and Absence Management in HCM PeopleSoft

Our Time/Labor and Absence Management modules in HCM PeopleSoft bring pay, time, and absence management together into one system.

We recently made some changes to the Business Manager role in PeopleSoft HCM. Those with this role will now be able to access HR queries, and we've also added new payroll queries. Please refer to the below document for a list of available queries.

The HCM All Access form has been updated to reflect this change to the Business Manager role. When submitting HCM access requests, please ensure you are using the current version of the form, so you see all roles/options currently available in the system. The current version of the access form is always housed in the ServiceNow system, available by searching ‘HCM’ in the search field and selecting the first option that appears.


Login to the HCM PeopleSoft System

To log in, use your Network Username and password. This requires two-factor authentication (DUO).
The HCM PeopleSoft system replaces ITAMS.

It is important to note that you will receive an error message (STR_PCMINVPORTAL: Invalid portal name) when logged into both the HCM PeopleSoft and Finance PeopleSoft systems in the same browser. It is recommended that you use different browsers for each system (Edge, Chrome, Safari, etc.). If that doesn’t work, clear your browser cache using the How to clear your web browser's cache instructions.

Student employees who enter all time worked into the timesheet (your offer letter mentioned an FLSA status of Non-Exempt and a pay type of hourly).

Temporary and student employees who enter all time worked into the timesheet (your offer letter mentioned an FLSA status of Non-Exempt and a pay type of hourly).

Staff and faculty employees in FTE, Research Grant, or Time Limited positions who are Exempt from the FLSA and as such do not enter regular working hours into a timesheet. These employees only do exception time reporting in a timesheet (working on a holiday). They are often referred to as ‘Salaried Exempt’ (your offer letter mentioned an FLSA Status of Exempt and referenced an annual salary amount).

Temporary and student employees in positions which are Exempt from the FLSA and as such do not enter working hours into a timesheet (your offer letter mentioned an FLSA Status of Exempt and referenced an annual salary amount). (Note: For purposes of this Time and Absence system, only exempt temporary staff will be entering leave of absence hours into a timesheet. TFAC (adjuncts) and exempt student employees do not enter any time worked or leave of absence into the timesheet.

 

Time and Absence queries and reports are now available on the Time and Absence WorkCenter for individuals that approve timesheets and absence requests as the manager. A reference guide is available below.

The TL/ABS Approver role is intended to be a back-up to the manager in the event of their absence or other extenuating circumstances.

All telecommuting hours must be tracked directly in Time & Labor to ensure accurate reporting and compliance. Employees will use two designated Time Reporting Codes (TRCs) to record their telecommuting time appropriately on their timesheet.

  • TELCM – Telecommuting Tracking should be used for telecommuting as outlined in the employee’s telecommuting agreement.
  • TELD – Telecommuting Deviation should be used for any telecommuting outside the approved telecommuting schedule or for those with no agreement and had to telecommute for other extenuating circumstances.
